Privacy Policy

Who we are
ezbooks.ai provides AI-assisted bookkeeping review for QuickBooks Online company files. We are an independent product and are not affiliated with or endorsed by Intuit Inc.
What we collect
- Account data: your email address, name if you provide one, and organization membership.
- Accounting data: transactions, invoices, bills, accounts, vendors and customers read from the QuickBooks company you connect.
- Product activity: questions you ask, proposals generated, approvals, executions and their outcomes.
- Billing data: subscription status and credit balances. Card details are handled by Stripe and never reach our servers.
- Operational logs: correlation IDs, timestamps, status codes and error categories. Logs are redacted and do not contain access tokens or full provider payloads.
How we use it
We use your data to answer your questions about your books, detect issues, prepare proposed changes you approve, produce reports, run billing, and keep the service secure and debuggable. We do not sell your data and we do not use your accounting data for advertising.
AI processing
Questions and relevant extracts of your accounting data are sent to a third-party model provider to produce explanations and proposed actions. Accounting content is passed as data, never as instructions. Model providers may process this data under their own terms; we configure the strictest data-handling options each provider makes available on our plan. We are not claiming zero retention by model providers, because we cannot currently guarantee it.
Provider credentials
QuickBooks access and refresh tokens are encrypted and stored in a table that no browser-facing database role can read. They are decrypted only inside server code, are never logged, and are revoked when you disconnect.
Sharing
We share data only with processors that run the service: our database and hosting provider, our model provider, and Stripe for billing. We disclose data if legally required, and we will tell you unless we are prohibited from doing so.
Retention and deletion
Accounting read-model data is retained while your organization is active. Disconnecting QuickBooks revokes tokens and stops further syncing. You can request deletion of your organization's data at any time; audit records required for billing integrity may be retained in redacted form.
Your choices
- Disconnect QuickBooks at any time from Settings → Connections.
- Request an export or deletion of your organization's data.
- Use the sample company instead of connecting real books.
